What type of communication can I expect from KaliKosmos Travel?

Initially, it’s best if we can meet for a 15 minute consultation. This can be done over the phone, over video chat, or in person (if proximity allows).  This brief consultation gives KaliKosmos Travel a foundation of understanding to help your advisor plan the experience that not only meets but also exceeds your expectations.  In this consultation, your advisor will explain the KaliKosmos Professional Process ask you for an overview of your travel goals.

Following the consultation, your advisor will send you our Research Retainer agreement. When that is complete, a longer consultation will be scheduled.

During your longer consultation, which usually lasts about 45 minutes, you advisor will ask you specific and detailed questions about you, your likes and dislikes, and your specific needs for the proposed travel.

Following the details consultation, your advisor will research options and present them to you through email. This you allows you to clearly and easily see what’s being offered. However, discussing these options over the phone, over video chat, or in person, if proximity allows, is never a problem.  Your advisor wants to hear what you like and don’t like about the options, what changes you’d like to see made, and where experiences can be improved.  Your advisor will work with you until the options presented match your dream.

Before the reservation for your dream experience can be confirmed, your advisor will email a link to our passenger name forms. Please complete this form with information exactly as it appears on the identification you will use for travel. Then, your advisor will email you a link to a DocuSign envelope that will outline the options included, the total cost, payments needed and their due dates, insurance information, and agency terms and conditions for your desired reservation.

Once you have completed the DocuSign envelope your advisor will apply the payment and secure the reservation.  Please keep in mind that the confirmation time can vary depending on the supplier chosen. Once everything is confirmed, your advisor will email you a receipt/confirmation for your trip.

Based on your chosen package and reservation, between the date of first payment and your date of departure, your advisor will email you some reminders. These include a reminder to check your travel ID, a reminder for optional experiences, a reminder about final payments, and a check-in reminder for your first itinerary event. KaliKosmos Travel wants to be sure you are prepared and confident for the travels ahead.

Once you depart, your advisor will email you a reminder about what to do if something is not correct on your trip.  It is always easier to correct problems while you’re on your trip than after you return.

When you return home, your advisor will check in with you via email to ask about your experience. Your feedback helps us, and we greatly appreciate it. Your advisor will also contact you to ask for testimonials and referrals. Your feedback in these areas helps other travelers as they plan their adventures.  We appreciate the time you give to these requests.

KaliKosmos Travel believes the advisor-client relationship should be just that, a relationship. Your advisor will reach out to you at various points post-trip to see if there are any additional travel plans for which she can be of service.
